Office Administrator

WM UNIFORM GROUP is a Richmond based company specializing in supplying uniforms to Security, Parking, Transportation and Gaming industries for the past decade. We offer one stop shopping for our client's uniforms needs. We are currently seeking a full-time Administrator to join our team.

  • Location of work: Same as business address. Remote work is not available for this position.
  • Job duties:
    • Answer general phone and email inquiries using a professional and courteous manner;
    • Reply to general information requests with the accurate information;
    • Prepare quotations with Act, QuoteWerks, and Quickbooks;
    • Prepare invoices, shipping documents, and contracts;
    • Direct warehouse staff to prepare and pack orders and arrange truck drivers for delivery;
    • Prepare orders and delivery schedule;
    • Check email and obtain customers' contact details including: names, addresses, and billing information, and specifications of items to be purchased, and enter the information into the order system;
    • Inform customers by mail of order information, such as unit prices, shipping dates, and any anticipated delays;
    • Check inventory records to determine availability of requested merchandise;
    • Provide administrative support to management and other staff;
    • Prepare reports, correspondence memos, and documents;
    • File documents based on filing standards and procedures;
    • Update and ensure the accuracy of the company's databases;
    • Purchase office supplies to ensure the basic supplies are always available;
    • Use QuickBooks to process accounts payable and accounts receivable to ensure timeliness, accuracy of codes and appropriate backup;
  • Terms of employment: Permanent full-time.

  • Wage: $53,500 per year

  • Skill requirements:
    • Completion of secondary school is required;
    • College diploma or Bachelor’s degree in a related field is preferred;
    • Proven experience in an administrative support role is required;
    • Previous experience in a customer service role is required;
    • Minimum one year as an Officer Manager / Office Administrator is required;
    • Proficiency in MS Office, QuickBooks, QuoteWerks is a strong asset;
    • Strong organizational skills and attention to detail;
    • Excellent verbal, written and graphic communication skills;
    • Excellent time management skills and ability to multi-task and prioritize work;
    • Able to work in a fast-paced environment
  • Other considerations:
    • Must have vehicle to report to work as there are NO public transportation available.

Employment Requirement

-Completion of a post-secondary diploma or degree; education background in related field preferred

-A minimum 2 years of work experience in transportation, import/export, logistics or freight forwarding industry

 

Skills and Qualifications

Main Duties

-Supervise and review the work of clerks in operational logistics of the company

-Coordinate and organize activities with other work units and departments

-Oversee and ensure compliance with policies, standards and regulations in force

-Monitor and prepare reports on the process of warehousing, supply chain and freight forwarding

-Interact and consult domestic and international clients in logistic services

-Resolve work-related problems and complaints and implement corrective measures

-Train workers in job duties and company policies, procedures and guidelines

-May perform the same duties as workers supervised
