Description:

We are a financial tax planning strategies company located in the heart of downtown Ottawa. We need Office Clerks to perform various clerical duties in support of our administrative, managerial and professional team.

Specific Skills:

  • Respond to telephone enquiries and forward them to the appropriate person or department
  • Process incoming and outgoing mail, manually or electronically
  • Photocopy documents for distribution, mailing and filing
  • Send and receive messages and documents using a fax machine or electronic mail
  • Maintain inventory of office supplies, order supplies as required and arrange for servicing of office equipment
  • Assist in preparing agendas, may attend meetings, and record minutes
  • Assist with administrative procedures such as budget submissions, contracts administration and work schedules
  • May sort, process and verify receipts, expenditures, forms, and other documents
  • May perform basic bookkeeping tasks such as preparing invoices and bank deposits.
  • Locate, retrieve, and make copies of documents from files as requested
  • Maintain records of files and removed materials
  • Record documents removed from files to ensure that loan-out documents are returned.

Production coordinator

Responsibilities:

  • Support manufacturing products in compliance with all regulatory and quality system requirements.
  • Perform incoming inspections on products and assist in optimizing manufacturing systems, equipment, and procedures. Ensure production results is as per the company’s schedule.
  • Receive shipments, track inventory, package products, and maintain storage areas for devices and related supplies.
  • Participate in the maintenance and improvement of quality system processes and manufacturing procedures.
  • Monitor production to resolve issues.
  • Determine and allocate required resources to provide on-time delivery.
  • Work with other departments to ensure the needs of each event/production are met. Coordinate with these departments to ensure the logistical organization is completed, as well as supply chain activities.
  • Maintains records of invoices, agreements, and contracts, as well as expenses.
  • Work closely with all stakeholders to ensure responses and resolutions are timely and concise. Escalating as required if corrective actions do not meet customer expectations.
  • Verify production and safety records.
  • Responsible for document revision, control, and approval per relevant standards.
  • Maintain & organize records from multiple facilities and programs. i.e., inventory, progress, production outcome per expectations, etc.
  • Keep inventory supplies and parts and order restock as needed.
