Job Summary

The Canadian Institute of Traditional Chinese Medicine seeks a dedicated and detail-oriented Medical Administrative Assistant to support our growing team. This role is essential in maintaining the smooth operation of our clinic and ensuring an excellent patient experience in a healthcare setting specializing in Traditional Chinese Medicine (TCM).

Key Responsibilities

• Schedule and confirm medical appointments; manage communication between patients and medical staff.

• Respond to telephone and electronic inquiries; relay messages and concerns to the appropriate healthcare provider.

• Communicate and follow up with MSP, WCB, ICBC, Blue Cross, and other insurance providers regarding patient cases.

• Prepare and format electronic medical reports, correspondence, spreadsheets, and related documentation.

• Interview patients to complete case histories, forms, and records.

• Maintain and update confidential medical files in compliance with privacy regulations.

• Draft agendas, transcribe, and distribute meeting minutes.

• Implement and maintain office administrative procedures, including document filing and internal reporting.

• Monitor and replenish medical and office supplies; verify deliveries and ensure proper inventory levels.

• Coordinate repairs and equipment orders to maintain clinic functionality.

• Oversee the proper storage of Chinese medicinal herbs and ingredients, ensuring correct temperature and humidity levels.

• Maintain the quality of Chinese medicine inventory and prepare herbal prescriptions per practitioner guidance.

• Organize company-related social functions and manage external reservations.

• Supervise and train 1–2 administrative staff in office procedures and software usage.

 

Qualifications

• Completion of post-secondary education is required.

• A minimum of 2–3 years of experience in a healthcare or clinical setting is preferred.

• Experience in supervising and training staff.

• Strong interpersonal and communication skills with a patient-focused mindset.

• Knowledge of medical terminology and an understanding of TCM practices are strong assets.

• Excellent organizational abilities and attention to detail.

• Proficiency in office software and medical scheduling systems.
