The candidate should also have experience working in an immigration office, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.

Key Role Responsibilities |
· Record and prepare minutes of meeting, seminars, and conferences.
· Plan, organize, and schedule meetings in the office, off-site, and via videoconference · Answer telephone and relay telephone calls and messages · Provide front-desk coverage by managing a busy, multiline phone system · Greet guests as they enter the office and direct them to appropriate person · Manage incoming/ outgoing mail and correspondence · Compile data, statistics and other information · Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information · Type and proofread correspondence, forms and other documents · Coordinate internal and external resources to expedite workflow · Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests · Order office supplies and maintain inventory |
Requirements |
· Completion of secondary school is required.
· 3-5 years of administrative experience preferably in legal/ immigration settings · Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook), Email, MS Windows, Microsoft Dynamics 365 sales (CRM) · Any business administration or management course or certificate is a plus

Specialism: ADMIN
As a Case Processing Assistant you are required to do:
- Process clients profiles into the customized software the company uses (Caseeasy, Immifile etc)
- Co-ordinate with the clients in making the appointment as and when necessary
- Replying to the queries of the clients under the supervision of the immediate boss
- Help the CIC/RCIC in the daily affairs of the office
- Filling out the forms pertaining to the Canadian Immigration, TRVs, TRPs etc.
- Making the required reports as and when required
- Helping the CIC/RCIC setup the clients zoom meetings and taking notes
- Any other duties as assigned from time to time
- Willing to work in tight schedule and meet the deadlines under pressure
Experience Needed:
- You are required to have at least 1 to 2 years of working knowledge in an Canadian Immigration firm
- You must hold good command of written and spoken English (IELTS CLB 6 and above is ideal)
- Must have the education equivalent to Post Secondary level as per the Canadian standard
